Forgotten follow-ups? Start with the process, not a bigger sales team.
Opportunities can stall because the next step is unclear, even when customer interest is real.

Find the gaps in your sales process
Enquiries arrive through email, messaging and phone. Each salesperson keeps separate notes; a manager discovers a problem only when a promising prospect has gone quiet. More leads will not fix a process without clear ownership, shared communication history and dated next steps. First map how enquiries arrive and who takes responsibility after each handover.
A familiar situation
A distributor receives a proposal request. A salesperson sends a quotation, then turns to other customers. There is no reminder and no note explaining what the prospect still needs to decide. A week later, someone else calls the same prospect without context. This illustrative scenario highlights the real requirement: continuity of conversation, rather than simply a larger contact database.
Establish a minimum working discipline
Each opportunity should have an account, an owner, a stage, an estimated value where relevant and a next-action date. Define each stage: what qualifies an opportunity, what counts as a quotation sent, and when a deal is closed. Review inactive opportunities regularly. A small team can test this discipline in a simple table before deciding whether a CRM is necessary.
When a CRM becomes useful
Consider a CRM when handovers become frequent, contacts multiply or finding past communication takes too long. Assess reminders, permissions, communication integrations and data quality. Avoid buying by feature count. Test one genuine workflow with the intended users, then check whether records become more consistent and opportunities easier to follow up.
What to bring to a solution discussion
Bring your sales stages, user count, lead sources, reporting needs and migration requirements. Identify who will maintain data quality. Confirm the final scope and integrations before accepting a quotation; do not assume every communication channel connects automatically.
Explore the next step
Try a concept demo, then discuss the workflow your team actually needs.
